1.1 The following rules shall be known as the Glocal University (Refund of Tuition & Other Fee) Rules, 2015.
1.2 They shall apply to all national and international students at Glocal University campus in its entirety.
1.3 They shall come into force on 1st July, 2015.
1.4 These Rules can be amended, augmented, clarified, interpreted, added to, deleted from, and changed by the University Administration. Any such change shall be intimated to the residents electronically and also by display on the official notice board.
1.5 Application for the refund of tuition fee, food and accommodation fee received before the closure of admission for the concerned programme will be accepted and thereafter no application for refund will be accepted under any circumstances.
1.6 Request for cancellation of admission and refund of fees may be considered as per the following norms:
2: REFUND OF TUITION FEE:
(a) Application of refund before the commencement of the classes but not after the closure of admission for concerned programme: In case an applicant withdraws before the commencement of the classes but not after the closure of admission for concerned programme and if the seat consequently falling vacant is filled by a waitlisted candidate (if any) then the Tuition Fee already deposited by the applicant shall be refunded after the deduction of processing fee Rs. 2,000/- (Two thousand only).
(b) Application of refund after the commencement of the classes but not after the closure of admission for concerned programme: In case an applicant withdraws after the commencement of the classes but not after the closure of admission for concerned programme and if the seat consequently falling vacant is filled by a waitlisted candidate (if any) then the Tuition Fee already deposited by the applicant shall be refunded after the deduction of processing fee Rs. 2,000/- (Two thousand only) and the proportionate monthly tuition fee.
(c) Application of refund after the closure of admission for concerned programme, no tuition fee shall be refunded.
Note: * For deduction of the proportionate monthly tuition fee, the programme tuition fee without any benefit like scholarship, financial aid etc. (if any) will be considered.
**If an applicant has paid lesser than the amount to be deducted from Tuition Fee, then the deduction amount may be adjusted from the fee paid for food/hostel accommodation/laundry/security or other related deposits, if applicable.
3: REFUND OF HOSTEL ACCOMMODATION FEE:
(a) Application of refund before the commencement of the classes but not after the closure of admission for concerned programme: In case an applicant withdraws before the commencement of the classes but not after the closure of admission for concerned programme and if the seat consequently falling vacant is filled by a waitlisted candidate (if any) then the Hostel Accommodation Fee already deposited by the applicant shall be refunded after the deduction of processing fee Rs. 1,000/- (One thousand only).
(b) Application of refund after the commencement of the classes but not after the closure of admission for concerned programme: In case an applicant withdraws after the commencement of the classes but not after the closure of admission for concerned programme and if the seat consequently falling vacant is filled by a waitlisted candidate (if any) then the Hostel Accommodation Fee already deposited by the applicant shall be refunded after the deduction of processing fee Rs. 1,000/- (One thousand only) and the proportionate monthly Hostel Accommodation fee.
(c) Application of refund after the closure of admission for concerned programme no hostel fee shall be refunded.
Note: *If an applicant has paid lesser than the amount to be deducted from Hostel Accommodation fee, then the deduction amount may be adjusted from the fee paid for tuition fee/food/laundry/security or other related deposits, if applicable.
4: REFUND OF FOOD FACILITY FEE:
(a) Application of refund before the commencement of the classes but not after the closure of admission for concerned programme: In case an applicant withdraws before the commencement of the classes but not after the closure of admission for concerned programme and if the seat consequently falling vacant is filled by a waitlisted candidate (if any) then the Food Facility Fee already deposited by the applicant shall be refunded after the deduction of processing fee Rs. 1,000/- (One thousand only).
(b) Application of refund after the commencement of the classes but not after the closure of admission for concerned programme: In case an applicant withdraws after the commencement of the classes but not after the closure of admission for concerned programme and if the seat consequently falling vacant is filled by a waitlisted candidate (if any) then the Food Facility Fee already deposited by the applicant shall be refunded after the deduction of processing fee Rs. 1,000/- (One thousand only) and the proportionate monthly Food Facility fee.
Note: *If an applicant has paid lesser than the amount to be deducted from Food Facility fee, then the deduction amount may be adjusted from the fee paid for tuition fee/hostel accommodation/laundry/security or other related deposits, if applicable.
5. If student was earlier admitted to a programme but later on transferred to some other programme having lesser Tuition Fee, then for calculation of monthly proportionate deduction for the purpose of refund of Tuition Fee, the fee of the programme in which the applicant was originally admitted (before programme transfer) will be considered.
6. NON-REFUNDABLE FEES/CASES
(a) Amount paid for obtaining Prospectus, Application fee, Processing fee, Entrance fee, late fee, Programme Transfer fee etc. is non-refundable under all circumstances, unless in specific are prescribed as refundable.
(b) In case a student leaves after the last date of admission or withdraws/leaves in the midstream, in such cases, that student shall have no claim of refund of fee and other charges already paid or otherwise, whatsoever against the University.
(c) In case a student leaves after the last date of admission or withdraws/leaves in midstream, in such cases, any university scholarship/concession will be adjusted against the security money.
(d) If in any case, a candidate has unknowingly or wilfully concealed or suppressed any information or fact or found impersonating or using any fraudulent means for getting the admission to the University or for obtaining scholarships, which renders him/she ineligible for the admission and/or scholarship, the admission of such an applicant shall be cancelled and/or he/she will be liable to disciplinary action(s) as decided by the University and/or as per the law of the land. That candidate shall have no claim of refund of fee and other charges already paid or otherwise, whatsoever against the University.
7. PROCEDURE OF REFUND
(a) For refund, applicant needs to apply to the University on the prescribed form as available in Registrar’s Office/Admission Office at the University Campus.
(b) Only original form duly filled and signed by the student and parent/guardian received in person or by post by the last date of admission will be accepted.
(c) Application sent via email or any other mode will not be accepted and cannot be used as a reference for claim of refund.
(d) Postal delay will not be the liability of the University and the date on which application by post is received by the University will be considered for refund.
(e) Refund will be made only after the applicant has surrendered the Original fee Receipt, ID Card (if already issued), letter from University for processing Loan and any other document as required by the University at the time of refund.
(f) Refund, if any, will be made through the account payee cheque only in the favour of concerned student or parent or guardian as opted and written by the student while filling the ‘Application Form for Refund’. Once the application for refund has been submitted, then any request to change the name of payee (student/parent/guardian) or for request to reissue the cheque because of postal delay or otherwise, additional processing fee of Rs. 500/- will be charged.
(g) Any amount, if refunded, will be in Indian currency only. For International Applicants, the refund against application received as per prescribed guidelines will also be in Indian currency and as per the actual conversion rate of US Dollar (on the date of the student withdrawal application).
(h) In case, the applicant has availed any letter or document from the University for processing the loan then the refund will be made through the account payee cheque in favour of the sanctioning bank, unless the applicant submit the NOC from the bank to get the refund in his own/parent/guardian favour.
(i) All the applications for refund of tuition fee/hostel accommodation fee/food facility fee etc. will be processed within minimum 8-10 weeks from the date of receiving of the refund application.
8. No interest is payable on any amount deposited with University also including refundable amount, if any.
9. An applicant claiming for refund of tuition fee and/ or hostel accommodation fee and/ or food facility fee (as applicable) before the commencement of the classes, he/she shall not join the programme and/ or avail hostel accommodation and/ or food facility (as and if applicable).
